Motion

Motion is a paid AI productivity app that schedules your tasks automatically, prioritizes your day, and replans your calendar in real time.

What is Motion?

Motion is a paid AI productivity app that combines your calendar, tasks, and projects into one system that schedules itself. Instead of manually deciding when to work on each task, Motion’s AI reads your deadlines, priorities, and calendar availability, then places every task into an open time slot for you. When a new meeting appears or a deadline shifts, it replans your entire day in seconds. Freelancers, project managers, and small teams use it to stop spending mental energy on when to do things, so they can spend it on the work itself.

How Motion works

Motion runs on three connected layers: the task list, the calendar, and the AI scheduler.

  • The task list: You add tasks with a deadline, a time estimate (how long the task will take), and a priority level. You can also set schedule restrictions per task, for example “only schedule this during mornings” or “only on weekdays.” Projects group related tasks and let you define dependencies between them so Motion knows the correct order.
  • The AI scheduler: Every time you add a task, Motion looks at your calendar availability, your existing task queue, and each task’s priority and deadline. It then picks the best open slot and blocks it on your calendar. No manual dragging required.
  • Real-time rescheduling: When your calendar changes (a new meeting, a cancelled appointment, a task that ran over), Motion replans your remaining tasks automatically. It will also proactively flag when a deadline is at risk based on what is actually blocking your calendar, before you miss it.
  • Integrations power the full picture: Motion syncs with Google Calendar, Microsoft Outlook, iCloud, Zoom, Gmail, and Microsoft Teams. Every event from connected calendars counts as blocked time, so the AI schedules around your real availability rather than a hypothetically empty day.

Motion also includes an AI Notetaker that joins your meetings, transcribes them, and generates a list of action items you can approve and add to your task queue in one click. This keeps meetings from producing decisions that never get acted on.

What you can build with Motion

  • A self-scheduling content production pipeline: Set up a project template for a repeating workflow (blog posts, video production, client deliverables). Every new project auto-assigns tasks and time-blocks them on everyone’s calendars. Motion flags risk if any team member is overloaded before the deadline lands.
  • A manager’s daily planning system: Add all recurring priorities as tasks with schedule restrictions (for example, deep work only before noon). Motion fills your working hours with focused blocks automatically, giving you a structured day without a dedicated executive assistant.
  • A client project tracker with deadline visibility: Create one project per client with milestones and task dependencies. Motion shows you in real time whether each project is on track, weeks before you would notice a problem in a standard to-do list.
  • A freelancer time estimation workflow: Track time against tasks automatically using Motion’s task timers. Over time, the data shows how long projects actually take versus your estimates, so you can quote future work more accurately and avoid underpricing.
  • A meeting-to-action-item pipeline: Enable Motion’s AI Notetaker for all client and team calls. After each meeting, it surfaces action items for approval and adds approved tasks directly to your queue, so follow-up work gets scheduled rather than lost in notes.

FAQ

Does Motion have a free plan? +

No, Motion is subscription-only. It offers a free trial so you can test the auto-scheduling before committing. Paid plans start at $19 per seat per month billed annually for the Pro AI plan, or $29 per seat per month for Business AI. Monthly billing is available at a higher rate with no minimum seat requirement.

What calendars does Motion integrate with? +

Motion syncs with Google Calendar and Microsoft Outlook, and also connects with iCloud for personal calendars. It integrates with Zoom, Microsoft Teams, Gmail, and Zapier. All your calendar sources feed into one unified view that the AI schedules around, so it accounts for your actual available hours rather than an empty idealised day.

How is Motion different from a regular to-do app? +

Regular to-do apps list your tasks but leave scheduling to you. Motion's AI reads your task list, deadlines, and calendar availability together, then places tasks in open time slots automatically. When a meeting is added or a deadline shifts, Motion replans your entire schedule in seconds rather than requiring you to manually drag and rearrange tasks.
